Vendor Operating Standards
Last updated: September 2026
These Vendor Operating Standards establish the operational requirements Vendors must follow when sending inventory, using TuBoleto warehousing, fulfillment, returns, marketplace or distribution services.
These standards supplement the International Vendor & Services Terms, Warehouse & Inventory Terms and any applicable service order, quotation, SLA or channel-specific requirement.
1. Advance Shipment Notice
Vendor must provide required inbound shipment information before inventory arrives.
TuBoleto may require an advance shipment notice, or ASN, containing:
- Vendor name;
- shipment reference;
- expected arrival date;
- carrier;
- tracking or PRO number;
- number of pallets or cartons;
- SKU information;
- expected quantities;
- lot or batch information where applicable;
- expiry information where applicable; and
- special handling instructions.
2. Receiving Appointments
TuBoleto may require receiving appointments for pallets, freight shipments, large deliveries or other inbound loads.
Vendor or its carrier must follow communicated appointment procedures and facility hours.
Unscheduled arrivals may be delayed, refused, rescheduled or subject to additional handling charges.
3. Pallet Identification
Where pallets are used, each pallet should be clearly identifiable and associated with the applicable shipment or Vendor.
TuBoleto may require pallet labels containing information such as:
- Vendor name;
- shipment reference;
- pallet number;
- SKU or contents;
- quantity; and
- lot or expiry information where relevant.
4. Carton Identification
Cartons must be sufficiently labelled to allow reasonable identification during receiving and storage.
Mixed cartons should be clearly marked where required.
5. SKU Identification
Each product must have a consistent SKU or other unique identifier approved for use in TuBoleto systems.
Vendor must not use the same SKU for materially different products.
6. Barcodes
Where barcodes are required, they must be readable, correctly associated with the product and positioned so they can be reasonably scanned.
Depending on the service or channel, accepted identifiers may include:
- UPC;
- EAN;
- GTIN;
- FNSKU;
- Vendor barcode; or
- another approved identifier.
7. FNSKU and Marketplace Labels
Where products are prepared for Amazon FBA or another marketplace requiring channel-specific labels, Vendor must provide accurate account, SKU, listing and label information.
TuBoleto may apply FNSKU or other marketplace labels as an additional service where requested.
8. Declared Quantities
Vendor must provide expected quantities before delivery.
Material differences between declared and received quantities may delay receiving and may require additional counting or investigation.
9. Mixed SKU Shipments
Mixed SKU pallets or cartons must be organized and identified in a manner that allows reasonable receiving and counting.
TuBoleto may apply additional handling or sorting charges where mixed inventory requires extraordinary work.
10. Lot and Batch Information
Where products require lot or batch traceability, Vendor must provide accurate lot or batch information before or at receiving.
Vendor must promptly notify TuBoleto of any later correction affecting traceability.
11. Expiry and Best-Before Dates
Where applicable, expiry or best-before dates must be visible, accurate and supplied in a format TuBoleto can reasonably process.
Vendor must disclose minimum shelf-life requirements applicable to the product or intended sales channel.
12. Minimum Shelf Life
Minimum remaining shelf-life requirements are product- and channel-specific and may vary according to the product category, marketplace, retailer or service.
Vendor must disclose applicable shelf-life requirements before shipping inventory to TuBoleto.
Inventory arriving below the applicable minimum may be rejected, quarantined or accepted only under specific written instructions.
13. Damaged Products
Vendor must not knowingly send damaged, leaking, contaminated, unsafe or materially compromised products without prior approval.
TuBoleto may isolate or reject such inventory.
14. Restricted Products
Vendor must obtain prior approval before sending regulated, hazardous, temperature-sensitive, unusually fragile or otherwise specially handled products.
15. Packaging Standards
Products must be packaged in a manner reasonably suitable for handling, storage and transportation.
Vendor is responsible for communicating product-specific packaging requirements.
16. Special Handling Instructions
Vendor must provide special handling instructions before the relevant inventory or order is processed.
TuBoleto is not responsible for requirements that were not reasonably disclosed in advance.
17. Receiving Discrepancies
TuBoleto may record and communicate discrepancies involving quantities, SKU identity, packaging, damage, lot information, expiry information or other receiving conditions.
Vendor must respond reasonably where instructions or clarification are required.
18. Receiving Evidence
TuBoleto may use photographs, receiving records, scans, counts, carrier records and WMS information as evidence of inbound condition or quantity.
18A. Receiving Processing Target
For properly scheduled and compliant inbound shipments, TuBoleto’s standard target is to complete ordinary receiving and make inventory available in the warehouse system within two business days after physical receipt.
This target assumes that required shipment information, SKU identification, quantities, labels and documentation are complete and accurate and that no discrepancy, inspection, damage, compliance issue or extraordinary volume requires additional work.
Non-compliant, unidentified, damaged, mixed, restricted or unusually large inbound shipments may require additional processing time.
19. Inventory Release
Inventory becomes available for fulfillment only after TuBoleto completes the applicable receiving process and releases the inventory in its systems.
Physical arrival at the warehouse does not automatically mean inventory is immediately available for sale or fulfillment.
20. Inventory Holds and Quarantine
TuBoleto may place inventory on hold or in quarantine where there is a discrepancy, safety concern, recall, suspected counterfeit issue, compliance concern, damage, missing documentation or other reasonable operational reason.
21. Order Cutoffs
Unless a different cutoff is stated in Vendor’s applicable service order or SLA, the standard order cutoff is 1:00 p.m. Eastern Time on TuBoleto business days.
Eligible orders received in complete and processable form before the cutoff are targeted for fulfillment on the same business day. Eligible orders received after the cutoff are targeted for fulfillment on the next business day.
These processing targets apply only where inventory is available and released, order information is complete, no fraud, compliance or operational hold applies, and no extraordinary volume or force-majeure condition materially affects operations.
22. Order Changes
Vendor must submit order changes through the approved system or communication channel.
TuBoleto may be unable to change an order after picking, packing, label generation or carrier processing has begun.
23. Order Cancellations
Cancellation requests are subject to the operational status of the order.
If work has already begun, applicable fulfillment, packaging, carrier or rework charges may still apply.
24. Delivery Addresses
Vendor is responsible for providing complete and accurate delivery addresses.
TuBoleto may stop or request clarification for an address that appears incomplete, inconsistent or undeliverable.
25. Carrier Requirements
Vendor must communicate any approved carrier-account instructions, shipping-service restrictions, signature requirements or other transportation rules before shipment processing.
26. Amazon FBA Preparation
Where TuBoleto prepares inventory for Amazon FBA, Vendor is responsible for maintaining an active Seller Central account and providing accurate shipment-plan, SKU, FNSKU, carton, pallet and destination information.
TuBoleto may perform applicable preparation, labelling, packing, carton verification and forwarding services according to the purchased service.
Amazon may modify its preparation, routing, appointment or receiving requirements at any time.
27. Walmart WFS Preparation
Where TuBoleto prepares inventory for Walmart WFS, Vendor must provide accurate account, item, label, shipment and destination information.
Walmart may apply additional preparation, routing, appointment, packaging or receiving requirements.
28. Other Marketplace and Retailer Preparation
Vendor is responsible for communicating requirements applicable to eBay, Best Buy, retailers, distributors or other channels where special preparation is required.
TuBoleto may decline instructions that are incomplete, unsafe or inconsistent with the purchased service.
29. Returns Grading Instructions
Vendor should establish instructions for how returned inventory is to be classified, including where applicable:
- sellable;
- repackable;
- damaged;
- used;
- incomplete;
- quarantined; or
- not suitable for resale.
Where Vendor has not supplied adequate grading instructions, TuBoleto may apply reasonable default operational classifications.
30. Recalls
Vendor must immediately notify TuBoleto of any recall, safety alert, stop-sale instruction, regulatory investigation or material product safety issue.
Vendor must provide sufficient information to identify affected products, SKUs, lots, batches or orders.
31. Removal Orders
Requests to remove inventory from TuBoleto facilities must identify the applicable inventory and provide complete destination and shipping instructions.
Removal orders may require processing time and may be subject to handling, preparation, palletizing, packaging and transportation charges.
32. Transfers and Disposition
Vendor must provide clear instructions for transfers, destruction, recycling, donation, return to origin or other disposition.
TuBoleto may require written confirmation before completing irreversible actions.
33. Authorized Representatives
Vendor must identify persons authorized to provide operational instructions.
TuBoleto may rely on instructions reasonably believed to originate from an authorized representative unless TuBoleto has notice that the person’s authority has changed.
34. Instruction Channels
TuBoleto may designate approved systems, email addresses, dashboards, APIs or other channels for operational instructions.
Instructions sent through unapproved channels may not be processed.
35. WMS Review
Vendor should regularly review available inventory, order, return and discrepancy information in the Vendor Dashboard or other approved system.
Vendor should report material discrepancies within a reasonable period after discovery.
36. Volume Forecasting
Vendor should provide reasonable advance notice of significant inbound shipments, promotions, launches or unusual order-volume increases.
TuBoleto may require additional planning or capacity arrangements for extraordinary volumes.
37. Peak Season
During peak periods, TuBoleto may establish temporary receiving schedules, order cutoffs, capacity controls or other operational measures.
Vendor should provide forecasts where reasonably possible.
38. Extraordinary Work
Work outside the ordinary purchased service may result in additional charges.
Examples may include:
- sorting unidentified inventory;
- extensive recounting;
- rebuilding unstable pallets;
- removing damaged packaging;
- correcting Vendor labelling errors;
- large-scale relabelling;
- manual data correction;
- extraordinary inspections; and
- special projects.
39. Facility Safety
Vendors, carriers, contractors and visitors must comply with TuBoleto facility safety, access and security requirements.
TuBoleto may refuse access where necessary to protect people, property or operations.
40. Prohibited Conduct
Vendor must not use TuBoleto services to store, distribute or process illegal, counterfeit, stolen, unsafe or knowingly misrepresented products.
41. Offboarding
When services end, Vendor must cooperate with TuBoleto to complete open orders, resolve returns, reconcile inventory and arrange removal, transfer or disposition of remaining inventory.
42. Operational Updates
TuBoleto may update reasonable operating procedures to reflect changes in facilities, systems, carriers, marketplaces, safety standards, laws or service capabilities.
Material changes affecting Vendor obligations may be communicated through the Vendor Dashboard, email, published policies or another reasonable method.
43. Relationship with Other Terms
These standards must be read together with the International Vendor & Services Terms, Warehouse & Inventory Terms, Fulfillment, Shipping & Returns Terms, Import & Product Compliance Responsibilities and any applicable service order or SLA.
Where there is a conflict, a specifically negotiated written agreement may prevail with respect to the particular matter it addresses.
Important: Specific cutoffs, minimum shelf life, accepted product categories, dimensional limits, appointment windows and other operational values may be established separately in TuBoleto’s current service schedules or operating guides.
